2 stopsKansas Business Registration (Secretary of State)
Event planning businesses operating in Kansas as an LLC, corporation, limited partnership or LLP must register with the Kansas Secretary of State. Kansas has no DBA or fictitious-name registration system at either the state or county level — the Secretary of State's site states that sole proprietors do not register with the office at all, and that its name-reservation filing 'does not register an assumed, fictitious, trade, or DBA (doing business as) name.' General partnerships are not required to register but may file a Statement of Partnership Authority. An LLC provides personal liability protection, which matters when coordinating large events.
Official government source$85 to file online or $90 by paper for LLC Articles of Organization, for-profit Articles of Incorporation, or a Certificate of Limited Partnership; $20 for a not-for-profit corporation. No DBA fee exists because no such filing exists. The Secretary of State does not publish a fixed turnaround. Online filings are processed faster than paper; foreign (non-Kansas) entities must file on paper, which adds time.

Kansas Retailers' Sales Tax Registration (event planning)
Kansas taxes the retail sale of tangible personal property and a specific enumerated list of services under K.S.A. 79-3603 — labour to install, apply, repair, service, alter or maintain tangible personal property, admissions to entertainment or recreation places, dry cleaning and laundry, vehicle washing and waxing, cable and similar. Event planning and coordination as a professional service is not on that list, so the planning fee itself is generally not taxable. What is taxable is any tangible goods you sell or resell to the client — decorations, favours, floral arrangements, rentals of tangible property — and admissions if you are the one charging entry. If you sell any of those, register with the Kansas Department of Revenue and collect the 6.5 percent state rate plus local rates.
Official government sourceNo fee — Kansas charges nothing to register a retailers' sales tax account. The cost is the tax collected and remitted.Registration is self-service online through the KDOR Customer Service Center and the department publishes no processing time. Register before your first taxable sale.

3 stopsKansas City, KS — Occupation Tax License (general business license)
Unlike Overland Park and Wichita, Kansas City, KS does require every business to register: the Unified Government states that operating a business or performing a service in the city requires an occupation tax licence, issued by the Business License Division, and that all businesses physically located in KCK must register annually and pay the occupation tax unless exempted by ordinance. Businesses based outside the city but working in it must also register. Zoning approval always comes first — a Commercial Zoning Memorandum for an office, or a Home Occupied Zoning Memorandum plus the Home Business Occupation Tax Application if you coordinate events from home. The licensing year normally runs January 1 to December 31.
Official government sourceThe occupation tax is set by business classification in the Unified Government's ordinance rather than as a single published figure; the Business License Division quotes the amount at 913-573-8780 and supplies all forms free of charge. Not published as a fixed turnaround. The Unified Government describes the process as quick and straightforward; zoning review comes first, and for a commercial location a building inspection can usually be scheduled the next business day after zoning approval.

Kansas City, KS — Special Event Permit (events in public spaces)
The Unified Government defines a Special Event as any event that charges a fee and/or is open to the public, any event requiring city permits for road closures, alcohol, vending or security, and any event exceeding 250 participants. Events in Unified Government parks, streets or plazas go through Parks and Recreation's Special Event/Use Request, and an event planner commonly files on the client's behalf. The application is submitted online or on the English or Spanish form, and the organiser must furnish liability insurance of not less than $500,000 combined single limit per occurrence naming the Unified Government WYCO/KCKS as an additional insured. Free community events and local 501(c)(3) nonprofits get the size fee waived or halved but still pay park or shelter rental, permits, insurance and the damage deposit.
Official government sourceEvent size fee plus park, shelter or building rental: $200 for a small event (under 250 participants), $425 for a medium event (251-500) and $1,300 for a large event (over 500). A minimum $100 is added for each additional day including set-up and tear-down, and a minimum $300 damage deposit applies.Allow 3-5 business days for the special event coordinator to respond to the application. All documentation — insurance certificate, rental and damage deposit, and any additional permits — is due 30 days before a small event or 60 days before a medium or large one, and the certificate of insurance must arrive no less than 60 days before the event. Missing those deadlines can cancel the event.

Wyandotte County / Kansas City, Kansas (Unified Government) — Zoning Approval for Events Outside City Limits
Wyandotte County and Kansas City, KS are a consolidated Unified Government, so almost all county territory is inside KCK city limits; the only separately incorporated areas are Bonner Springs, Edwardsville and Lake Quivira. A large outdoor event on private property in the county is therefore reviewed by the Unified Government's Planning and Urban Design department for zoning and temporary-use compatibility (913-573-5750), while an event in a Unified Government park or on public property goes through Parks and Recreation's Special Event process instead. Events inside Bonner Springs, Edwardsville or Lake Quivira are handled by those cities. Expect to supply proof of insurance, a site plan and sanitation provisions for large gatherings.
